Privacy Policy
Last updated: 2026-10-12
This policy explains what personal information [Company Name] (“we”, “us”, “our”) collects when you use our documentation service (the “Service”), how we use it, and the choices you have.
Information we collect
Account details: your name, email address, password (stored only in hashed form) and, if you add one, your avatar.
Workspace details: the workspaces you belong to, your role in each, and invitations, including the email addresses of the people you invite.
Your content: the pages, files, revisions and releases you and your team create, and the activity log of who changed what.
Billing details: your plan, payments and invoices. Card details are collected and stored by our payment providers, not by us.
Technical details: your IP address, browser and device, used for security and sign-in (for example, the device list for two-step sign-in), and server logs.
Cookies: cookies that keep you signed in and protect forms, cookies that remember your preferences such as theme and language, and, only if we ask and you agree, analytics cookies.
People who read published docs
When someone reads a documentation site published with the Service, we process their IP address and request details in server logs to deliver and protect the site. Password-protected and members-only sites use a cookie to remember that the reader has access. The workspace that publishes a site decides what it contains and is responsible for any personal information it includes.
How we use information
to provide the Service: your account, workspaces, editor, previews, publishing and custom domains;
to keep accounts and the Service secure, including two-step sign-in and preventing abuse;
to send service emails, such as email confirmation, password resets, workspace invitations and, if you choose, plan renewal notices;
to take payments and keep billing records;
to answer your questions and requests;
to understand how the Service is used, in aggregated form, so we can improve it;
to comply with the law and enforce our terms.
Where data protection law requires a legal basis, we rely on: performing our contract with you; our legitimate interests in running, securing and improving the Service; your consent, for optional cookies; and legal obligations.
Who we share it with
Your workspace: other members of a workspace can see your name, email address, avatar, role and the changes you make there.
Service providers that help us run the Service, such as hosting, file storage, email delivery and payment processing. They may only use the information to provide their services to us.
Authorities, when the law requires it, or to protect the rights and safety of our users, the public or us.
A buyer or successor, if our business is sold or reorganised, under the same protections described here.
We do not sell your personal information.
Content in workspaces
For the content teams create in their workspaces, we act on behalf of the workspace owner, who decides what is stored and published. Requests about that content should go to the workspace owner first.
International transfers
Our service providers may process information in other countries. Where the law requires it, we use appropriate safeguards, such as standard contractual clauses, for these transfers.
How long we keep it
We keep your information while your account is open. After you close your account or workspace, we delete or anonymise the information within a reasonable period, except for what we must keep for legal, tax or security reasons, such as invoices.
Your rights
Depending on where you live, you may have the right to access, correct, delete or export your personal information, to object to or restrict how we use it, and to withdraw consent at any time. You can change most details yourself in Account settings; for anything else, contact us. You may also complain to your local data protection authority.
Security
We protect your information with measures such as hashed passwords, optional two-step sign-in, and access controls inside every workspace. No service is completely secure, so please use a strong, unique password.
Children
The Service is not intended for children, and we do not knowingly collect personal information from children under 16.
Changes to this policy
We may update this policy. We will post the new version on this page and update the date at the top; for significant changes we will also tell account holders by email.
